Managing Notes and Documents in Notebooks

To view, enter or edit notes and documents in a notebook:

  1. Open an individual record or entry.

  2. Select the notebooks icon in the upper right corner of your screen.

    The orange badge will tell you how many unread notes you have.

  3. Select the notebook you want to manage. If the notebook has a book icon next to it, then it uses categories.

  4. Select the filter icon and enter a date range to filter the notes.

  5. Select the Printer icon to run a report for the notebook for the filter settings.

  6. Select to the square icon to collapse the notes to show one the subject lines.

  7. Select the bullet list icon to expand the notes again.

  8. If you selected a category notebook, select the pencil icon to add a new note or file to a category. Otherwise, skip to Step 5.

  9. At the bottom of the screen, enter a Subject and the note text.

  10. Select the paper clip icon to add a document or a photo.

  11. Drag the file(s) into the dashed box or click the + to browse for a file.

  12. If you selected the +, browse for the file you want to add and select Open.

  13. Select the trash can icon to remove an individual document or the clear icon to remove all documents, if you selected the wrong ones above.

  14. When finished, select the Save icon.

  15. Select the pencil icon to edit an existing note and add or remove a document if you have permissions to do so.

  16. Select the X to close without saving or the Save icon to save the changes.

  17. Select the download icon to export the documents attached to the notes (in the date range selected) to a zip file.

    In a few moments a dialog box will open asking where you want to save the zip file. Select Save to confirm and save it to the selected location.

  18. Select the arrow next to the notebook name to return to the list of notebooks or the X to close the notebook tray.

  19. Select the X to close the notebooks tray.
