The following are questions submitted during the Sandata EVV Enhanced Town Halls with answers provided by Sandata after the event. We will update this list of questions after each town hall. Please follow the page to receive notice of updates.
General Questions
Q: Will the in-app training be customized by the program?
A: This training has been created to offer customer education on using Sandata EVV Enhanced. However, there may be differences between the training and your view of the Sandata EVV Enhanced based on your specific program requirements.
Q: Will the mobile app be changing as well, or just the Sandata interface website?
A: No. Sandata Mobile Connect (SMC), Telephony, the Sandata Aggregator, and Sandata BI, powered by DOMO, will not experience any changes at this time.
Q: Does this apply to the state-provided version?
A: Yes, the new Sandata EVV Enhanced interface will be used for state-provided EVV programs.
Q: How will the merging of Sandata and HHAeXchange affect us?
Currently there is no effect. Sandata customers will continue to use Sandata products and receive the exemplary customer support they have come to know. For more information about Sandata’s acquisition by HHAeXchange, please visit an FAQ section at Sandata On-Demand.
Q: Who is a "Sandata EVV user?" Because SMC has users???
A: A "Sandata EVV user" would be someone from the provider agency who accesses the EVV portal for administration functions. Sandata Mobile Connect users are not affected by this change.
Q: What is a "UI?"
A: The UI is the User Interface, essentially what the user sees on the screen when they log in and how they operate within the system.
Q: Will it be an automatic update or will I have to re-save a new link?
A: The update to the system will be automatic, and you will be reminded in advance of the date your system will update. The link you use to log in to the Sandata EVV platform will not change. You will still log in using https://evv.sandata.com.
Q: When will this be going live?
A: Individual states will migrate to the EVV Enhanced user interface at predetermined dates. You will be notified in advance of your date to migrate.
Q: Which states have already implemented this?
A: As of January 2025, the following states are using the EVV Enhanced platform: Arizona, Delaware, Hawaii, Ohio, Massachusetts, and the District of Columbia.
Q: Is this for providers that are using Sandata for their EVV?
A: Yes. Only Sandata EVV is affected by this migration. Sandata Mobile Connect (SMC), Telephonic Visit Verification (TVV), the Sandata Aggregator, and Sandata BI, powered by DOMO, will not experience any changes at this time.
Q: Where do we view the trainings?
A: Training courses will be available in Sandata Learn, closer to your state's proposed migration date.
Functionality Questions
Q: Can you add more than one phone number in the employee’s section?
A: Yes, a different phone number can be added for each address assigned to the employee.
Q: Can reports filter by more than one client instead of being able to show all clients?
A: Reports filtering is still limited to one client or all clients.
Q: Will the filters have the option to be program specific?
A: If the user decides to save a filter based on a specific program, then it can be program-specific for that user. Filtering is not the same across the entire program for every user.
Q: How will the updated program affect our current workflow?
A: The enhanced modules will improve current workflows by adding efficiency and smoother navigation to the data.
Q: Are the Exceptions clickable/drillable? Can I click Visits without any calls and see which five are being counted?
A: Yes, when looking at Visit Counts By Exceptions, each exception is clickable and will show the visits associated with the selected exception.
Q: How do we set up schedules for caregivers?
A: Schedules can be set up from the client module or in the scheduling module, if scheduling is available for your program.
Q: How do I contact Sandata when I cannot find a client on the list?
A: Only Active clients load by default. Use the filters to search for all clients and search by the Client's Medicaid ID. To see a list of clients in a pending status, select 'Pending' from the Status dropdown within the filter module. For Inactive clients, select 'Inactive.' To see all clients regardless of status, select 'Select Status' to clear the filter.
Q: How do we create exceptions to clock-in and clock-out, when employees have clocked the wrong time or forgot to login at all?
A: Exceptions are created based on the information entered or omitted for the visit. Supervisors addressing exceptions in Visit Maintenance are required to fix or acknowledge the exceptions with reason codes.
Q: Is there a way to track GPS compliance of aides?
A: Yes. This change does not affect any existing functionality for GPS. The GPS location is only captured at the in and out call, not in between. Running the GPS Exception Report will provide GPS Compliance data.
Q: In the client module, program tab, does the auth track hours left?
A: Yes, you should be able to see Total Remaining Units in the Client Authorization section.
Q: Can Sandata Mobile Connect (SMC) users now see a history of their clocked hours?
A: This change does not affect any current functionality in the Sandata Mobile Connect app.
Q: Can Sandata Mobile Connect users now correct their own hours?
A: This change does not affect any current functionality in the Sandata Mobile Connect app.
Q: I have a few People who do not have schedules as the times will change due to their work, family schedules. Schedules are not mandatory - correct?
A: The use of the scheduling function is state program dependent. You will need to confirm with your state as to whether it is mandatory for you.
Q: On the dashboard, can we customize the search instead of only seven days?
A: Yes, the drop-down date range is today and up to the last seven days.
Q: Under visit maintenance, can you still look up all visits instead of just exceptions?
A: Yes, you can choose to view All Visits in the Filters. You can also save your filters for those you use regularly.
Q: Will employees be able to go back and see the hours they worked for the week in the Sandata app?
A: No functionality is changing for the Sandata Mobile Connect app.
