Adding Clients

If your clients do NOT sync from ProviderPro/Client Care clients , you must add them directly to Staff Scheduling and/or Time Tracking.

To do so:

  1. Select Clients from the menu and then select Add.

    You will see the Basic Information card and Time Tracking Info card (Time Tracking only).

  2. Complete the following information.

    In this field: Enter/Select:
    Code A code for the client that consists of upper-case letters and numbers only (no special characters or spaces) up to 12 characters long (required)
    First Name & Last Name The client's first and last name (required)
    Active If the staff is currently an employee.
    Client Type

    Client - Regular Client

    Indirect Client - Used for Indirect Time when pushed through billing

    Placeholder Client - Used for ratio purposes only

    Medicaid Number The client’s medaid number.
    Active If the client is currently a client
    Exclude From Regular Clients If the agency is using Time Tracking, but this client's services will not be tracked.
    Exclude from Guest Clients If the agency is using Time Tracking,and this client should never be added as a guest to a service location he or she is not assigned to.
  3. Click Save.

    Step Results: The Scheduling Locations (Staff Scheduling only), Qualifications (Staff Scheduling only), Excluded Staff (Staff Scheduling only), Managers, Service Locations (Time Tracking only) and Client Groups cards appear.

  4. If you want to upload the client's photo, mouse over the photo icon on the Basic Info card and select Change Image.

    The Upload Photo window opens.

  5. Drag the photo onto the window or click Choose File to browse for it.
  6. Select Upload.

    Step Results: When the photo has been upload Done will appear beneath it

  7. Select Cancel to close the window.

    The client's photo now appears on the Basic Info card.
