Global Location Groups

Global Location Groups

If your agency has licensed Staff Scheduling or Time Tracking, you can use global location groups to group together one or more global locations. You can then set up security for that group of locations for these roles: scheduling location manager, scheduler, time tracking approver, time tracking reviewer and time tracking viewer. In addition, you can designate which employees are approved to be scheduled to work at this group of locations as well.

The global location groups will automatically sync to Time Tracking and Staff Scheduling as:

  • Scheduling Location Groups

  • Manager Service Location Groups

  • Payroll Cost Center Groups

  • Data-Entry Service Location Groups

To enter a new or modify a global location groups:

  1. Enter Global Location Groups into the Site Search.

  2. Select the + to add a new global location group or select an existing card to open one.

  3. Complete or modify the following information:

    On this Card:Enter or Select:
    Basic Information
    • Description
    • Active
    Global Locations

    One or more global locations. The global locations will sync over as:

    • scheduling locations of scheduling location groups

    • payroll cost centers of payroll cost center groups

    • service locations of manager service locations groups

    • service locations data-entry location groups

    Approved Staff Groups for SchedulingOne or more employee groups. The employees tied to the Staff or Staff Positions cards of the selected employee groups will sync to staff scheduling location groups as staff approved to work at the selected global locations above. Depending on the settings of the employee's staff permission group and associated data collection types, the staff may also be able to log time at these locations as well.
    Scheduling Location Manager Positions

    If a position's Scheduling Location Manager Type is set to Selected, you can select one or more positions that will manage the scheduling locations selected on the Global Locations card above. The employees that fill the selected positions will sync over as the staff scheduling location group scheduling location managers.

    To do so, select the +, select the appropriate position(s), and then set the Manager Type as Primary or Department. Primary receives notifications and department does not.

    Scheduling Manager Positions

    If a position's Schedule Manager Type is set to Selected, you can select one or more positions that will schedule the scheduling locations selected on the Global Locations card above. The employees that fill the selected positions will sync over as the staff scheduling location group schedulers.

    To do so, select the +, select the appropriate position(s), and then set the Manager Type as Primary or Department. Primary receives notifications and Department does not.

    Time Tracking Approver Positions

    If a position's Time Tracking Approver Type is set to Selected, you can select one or more positions that will approve time and mileage for the service locations/payroll cost centers selected on the Global Locations card above. The employees that fill the selected positions will sync over as the manager service location approvers and payroll cost center group approvers.

    To do so, select the +, select the appropriate position(s), and then set the Manager Type as Primary or Department. Primary receives notifications and Department does not.

    Time Tracking Reviewer Positions

    If a position's Time Tracking Reviewer Type is set to Selected, you can select one or more positions that will review time and mileage for the service locations/payroll cost centers selected on the Global Locations card above. The employees that fill the selected positions will sync over as the manager service location reviewers and payroll cost center group reviewers.

    To do so, select the +, select the appropriate position(s), and then set the Manager Type as Primary or Department. Primary receives notifications and Department does not.

    Time Tracking Viewer Positions

    If a position's Time Tracking Viewer Type is set to Selected, you can select one or more positions that will view time and mileage for the service locations/payroll cost centers selected on the Global Locations card above. The employees that fill the selected positions will sync over as the manager service location viewers and payroll cost center group viewers.

    To do so, select the +, select the appropriate position(s), and then set the Manager Type as Primary or Department. Primary receives notifications and Department does not.

  4. When finished entering or modifying the information, select Save.

    The sync to Time Tracking/Staff Scheduling will automatically kick off. It may take a few minutes for you to see your changes in Time Tracking/Staff Scheduling.
