Employment Tracking Options

If you have licensed Employee Care and want to use Employment Tracking and/or want sync position information back to the employee, you must first enable some settings in Position and Placement Options.

To do so:

  1. Choose Setup in the menu pane and then select Employee Care.

  2. Scroll down to the Position Management card and select Options.

  3. On the Employee Tracking Settings card, select these settings:

    You cannot have the settings on the Employee Tracking Settings and the Basic Position Tracking Settings cards both enabled for processing at the same time. Once you turn enable Process Transaction under the Employee Tracking Settings, you CANNOT switch back to the Basic Position Tracking Settings.

    Enabled Select to turn Employment Tracking on. You will also need to set up security permissions to employment tracking.
    Process Transactions If Employment Tracking is enabled,select to process the transactions that will appear in the Employment History card of the employee.
    Number of Days to Keep Old Job Titles Active If Employment Tracking is enabled, This setting determines the number of days to keep the employee's previous job title active after removing a position or managed position so that payroll can process wages for the previous job title. The job title will automatically be set to inactive after the number of days set here has passed. The default is 21 days.
    Sync Primary Position Information to Employee

    If Employment Tracking is enabled, you can select this check box to sync the information on the Employment Information card of a position or the information on Employee Care Managed Staff Settings card of a managed position's (employee group) manager position to the Position Information card on the Employment Information tab of the employee for the employee's primary position/managed position.

    If this information already exists in the employee, the information in the position or managed position will overwrite it even if the information in the position or managed position is blank. The primary position is the one marked primary for the employee in the Employment Tracking Wizard.

    Sync Director to Employee If Sync Primary Position Information to Employee is enabled, then select to sync the employee's director based on the position above the employee's position that is marked as Director and filled with an employee that has a corresponding director in the Directors setup list.
    Sync Manager to Employee If Sync Primary Position Information to Employee is enabled, then select to sync the employee's manager based on the position above the employee's position that is marked as Manager and filled with an employee that has a corresponding Manager in the Managers setup list.
    Wage Calculator Timeframe If Sync Primary Position Information to Employee is enabled, you are required to enter the Wage Calculator Timeframe that should be used in a new Wage Calculator Action that is created if a position has a forced pay rate for an employee. Typically is will be the timeframe the is set to Any.
    Wage Calculator Timeframe If Sync Primary Position Information to Employee is enabled, you are required to enter the order that should be used in a new Wage Calculator Action that is created if a position has a forced pay rate for an employee. Typically it will be set to 1.
  4. When finished, select Save.
