Finding a Substitute for a Shift

Use the Find Substitute to find another person (that is qualified, approved and available) to take your shift (only available if this feature is enabled in Options).

Staff is eligible to fill the slot if, the staff:

  • Is active
  • Is approved to work at the scheduling location
  • Is not excluded from working with any clients assigned to the shift
  • Does not have approved time off at any point during the shift
  • Is not already scheduled to work another shift that overlaps with the shift

To find a substitute for your shift:

  1. Select My Schedule from the menu or if the one you want to find a substitute for is your next shift, select Find Substitute on the Next Shift card on the Home screen.

    Step Results: If you selected My Schedule, the My Schedule screen opens. Continue on to Step 2.

    If you selected Find Substitute on the Next Shift card, go to Step 4 instead.

  2. Select the shift you want to find a substitute for from the grid.

  3. Select Find Substitute.

    Step Results: The Staff window opens.

  4. Select the name of the person you want to send a message to asking them to fill your shift and select Send Substitute Request.

    You can also select the email icon to automatically create an email addressed to the staff’s email address, select the phone icon to call the phone number listed or select the cell phone icon to create a text to them. (If your co-worker marked the Allow Staff To See This Contact Information check box in Contact Information cards in User Settings, then their phone number and/or email address will appear.)

  5. Select Send to send the message.

    The recipient will receive a message in the Message Center that includes a link to the shift where they can accept or reject your request.

    Note: Make sure you have Posted The Shift to the trade board so the person can Pick Up the Shift.

    If you want to cancel the substitute request, open the shift again and select Cancel Sub Request.
