Reviewing the Staff Log or Service Location Log

Review Log and Approve Log Managers can update both unapproved Clock and Log transactions of their staff and the payroll cost centers they manage from the Staff Log and of the service locations they manager from the Service Location Log.

To review and update transactions:

  1. To review the transactions for your staff or payroll cost centers, click Staff Log in the menu, set any needed filters and then select the appropriate Staff card.

    To review the transactions for a particular service location, click Service Location Log in the menu, set any needed filters and then select the appropriate Service Location card.

  2. Select the arrow next to Worked or Non-Worked under Paid Hours in the Summary card to view a breakout of hours by service or wage type.

  3. Mouse over a block or press and hold a block to view more details without opening it in the Hours graph.

  4. Click in the legend of the Hours graph to hide or unhide the various blocks (scheduled time, time off, clocked in time, etc.). This is helpful if there is a duplicate block behind another block.

  5. Select the pencil icon in the Hours graph to use the graphical edit mode in the Hours graph to quickly change the Begin and End Times of entries. This is helpful when you are trying to match clocked and log time entries and fix overlapping entries.

  6. Select a block and then drag the white circle on the top or bottom edge up or down to change the begin or end time.

  7. Select two adjacent blocks and drag the white circle up or down to adjust the end time of the top block and the begin time of the bottom block.

  8. Select one or more blocks and select the trash can icon to void all of the selected entries.

    Enter the reason for voiding if required and select Void.

  9. Select one or more blocks and select the edit icon to change the staff assigned to all of the selected entries.

    Select Add Staff, select the name of the staff you want to change to and then select Save. Enter any notes as required and then select Save again.

  10. Select the clear icon to exit the graphical edit mode.

  11. Select or tap a block on the Hours graph or click Open on a row in the Other Hours/Amounts grid, Mileage grid or Expenses (Staff Log only) grid to open it.

  12. Select Edit to make any needed changes or Void to void it.

    Note: If the Edit button does not appear, then the flag checker hasn't finished processing (you will see an hour glass icon), the transaction has already been approved (you will see the green circle with a check mark icon) or you do not have security permissions to edit. If the hour glass icon does not disappear after a few minutes, the flag checker may be stuck. Select Recheck Flags to clear it.

  13. When finished editing, click Save.

    Note: You may be required to enter a note when updating a transaction depending on your agency's setup.

  14. If you are viewing a Time with Clients log entry that requires client verification, select the Client Verification link at the top of the card to view the client’s signatures or listen to their audio verification.

    The Client Verification window opens.

  15. Scroll down to view any flags or notes associated with this transaction.

  16. Select Show Auditing to view the audit history for this transaction.

  17. Click the down arrow to view more detailed auditing information.

  18. If you are viewing a Clock transaction and location tracking is enabled, click the Pin icon to view a larger map showing where the staff was when clocking in or out.

  19. Select the left and right arrows at the top of the screen to navigate between the transaction details without closing the pop-up. This is also useful for finding a duplicate or overlapping entry that is not visible in the Hours graph.
