The Sandata EVV system uses recipient authorizations, created by providers in the EVV Recipient record, to validate the payer, program, and service details captured on the visit. Without a matching Recipient authorization in the system, a visit cannot reach a verified or processed status to match a claim. Below are the steps to create a Recipient authorization.
This video will guide you in how to add authorizations to a Recipient record.
- Log In with OH | ID.
- If you have access to more than one Sandata EVV account, you will be prompted to select an account. If you do not have access to more than one account, you will be automatically signed in.
Select the Recipients dropdown from the navigation menu. Then choose Recipient Management.
- Select the Recipient for whom the authorization needs to be added.
- In the Recipient record, select the Program tab.
Under the Authorization Details section, you'll be able to view and edit any authorizations. If you need to add a new authorization, select ADD AUTHORIZATION.
- Complete all required fields. The choices in the dropdown fields should be filled automatically based on the payer, program, and service within the recipient record.
- Event Code - select the event code that corresponds with the authorization (NONE - None or U9-U9 Modifier).
For services without modifiers, the Event Code will be NONE-None. For services with modifiers (e.g., T1001 or G0493), other Event Codes are available. Select the Event Code (e.g., U9 - U9 Modifier) that matches the authorized service.
Format - select Hours, Visits, or Units. Note: if using the optional scheduling module, the Recipient schedule must have the same format type as the authorization.
- Date Range - select the Start Date and the End Date. If there is no known End Date to providing the service, you may enter a future date. For example, 01/01/2070. Remember to add the correct start date if the visit took place in the past. The dates must match.
Note: If an authorization is still valid and the wrong End Date was entered, the End Date field can be edited. If the authorization is not valid and the End Date has passed, a new authorization must be created.
- If the authorization has limitations, select the Has Limitations button. Then complete the limitation details according to the authorization.
The Limitations area contains details about how many units of service can be performed.
- Select SAVE. If another authorization is needed, select SAVE AND ADD NEW.
