How to Future Date Recipient Records

Users can create a new recipient program to be effective on a date in the future. Sandata has included new system functionality that will allow the system to automatically update the program’s status based on the “Status Effective Date.” If you have recipients enrolling on a new program with a future date, follow the steps below.

1. From the Recipient Management > Recipient > Select the Recipient Record, then open the Program tab. Select the Program you need to make active from the drop-down menu at the top of the page.

2. Update the Program Status to Active in the drop down to the right of the page.

3. The Program Details will open. Change the “Status Effective Date” to the future date desired.

After selecting Save, the “Status” in the Program Details box will be "Pending” until the future date is reached.

CAUTION: If you select the pencil icon in the Program Details box and change the “Status Effective Date” you will override the automated status update, and the future status update will not occur.

4. Keep in mind that the Status of the Program has not changed yet. To confirm that you have accurately initiated the future date change go to the History Link found in the upper right corner on the Recipient profile, to see the fields that were changed.

5. When the official date of change arrives, the status will be updated from Pending to Active. You will also see a new entry in the History noting the change.
