Sandata EVV 8.52 Release Notes January 21, 2026

In this release, we’ve introduced reporting enhancements and system improvements designed to make your experience more consistent, accurate, and user-friendly. These updates include better report formatting, clearer validations, improved time zone handling, automated processes, and standardized terminology—all aimed at reducing errors and streamlining workflows for providers and state users.

Reporting Enhancements

 Reporting Usability Improvements
  1. We’ve made key updates to improve the usability and consistency of report exports for Providers and State users:
  • Service Types Report
    Enhanced export format to display all data in a single workbook tab for easier review.
  • Client Visit Summary Report
    Improved formatting and added a Memo field label, showing up to one memo per visit.
  • Visit Log Report
    Improved formatting and added a Reason Note field label, which can display multiple notes per visit.
  • All Client Export & Full Client Export
    Repositioned the Suffix column to appear directly after the Full Name field, instead of after the Status field, for better data consistency.
     
2. Audit Log/History Reporting Language Enhancement
            Homecare now accurately sets the client’s language during creation based on the state master file:
  • For clients created from the state master file, the language is set using the value provided in the file.
    • This prevents incorrect history entries such as “English → Spanish” when the client was Spanish from the start.
  • If the language on the state master file is null, the client’s language will remain blank (it will not default to English).
  • For manually created OH clients, the default language remains English.
       Why This Matters:
  • Ensures audit and history records match source state data.
  • Reduces confusion for state and provider users reviewing client history.
  • Supports correct handling of non-English-speaking clients (e.g., Spanish speakers).
  • Prevents misleading defaults that could later be overwritten by system updates.

System Enhancements

1. Audit Log/History Time Zone Enhancement
          We’ve updated Sandata audit and history logs so that all displayed timestamps now use the agency’s configured time zone, rather than the user’s local device time.
  • All timestamps in Fuse audit and history logs now display in your agency’s configured time zone, instead of the user’s device time.
    This applies to history views in Clients, Employees, and Scheduling.
    Times are still stored in UTC behind the scenes and converted for display, with proper handling of Daylight Saving Time.
       Why this matters:
  • Consistent timestamps across staff and systems
  • Reduces confusion from different local time zones
  • Improves accuracy for compliance and reporting
     
 2. Audit Log/History Time Zone Enhancement
     Sandata audit and history logs now display timestamps in the agency’s configured time zone, rather than the user’s local device time.
  • Timestamps now display in your agency’s time zone instead of the user’s device time.
    This applies to Clients, Employees, and Scheduling history views.
    Behind the scenes, times are still stored in UTC and converted for display, including proper handling of Daylight Saving Time.

3. Time Zone Standardization
Align Template Time Zone Display
  • In Clients → Edit Client → Schedules (Templates), time zones now use the same single-letter format in brackets (e.g., [E], [C], [M]) as the Schedules grid.
    This is a visual-only change; time logic and calculations remain the same.
  • Optional “Visit Time Zone” Column
    You can now add a Visit Time Zone column to the Manage Visits grid using the Show Display Options checkbox.
    When enabled:
    • The column appears after Visit Date and shows the visit’s stored time zone (matching Visit Details → General tab).
    • The export includes this column only when it is visible in the grid.

       
4. Automatic Employee Future Status + "until" label
We’ve implemented an overnight process that automatically updates an employee’s status and Effective Date on the scheduled Future Status Effective Date and clears the Future Status fields.
Plus, you’ll now see an “until {date}, end of day” label next to the current status, so staff know exactly when the change will occur.
Why this matters:
  • Eliminates manual updates and reduces errors
  • Provides clear visibility of upcoming status changes
  • Improves efficiency for managing scheduled employee updates
     
5. Future Status Effective Date Enhancements
We've made improvements to Client Program Status Handling
When a future Status Effective Date is set, the client’s current status and Status Effective Date will now remain unchanged until that date. The status will then switch automatically overnight.
Why this matters:
  • Prevents unintended immediate status changes
  • Ensures admissions and status history reflect the correct effective dates
  • Supports accurate scheduling, billing, and compliance
6. Resolved “Unknown Error -32767” in EVV Updates
We’ve improved the EVV system by updating the Oracle (PL/SQL) package to prevent errors when vendors update visits that move across calendar years. This enhancement ensures smoother processing and greater accuracy for visit updates.
Why this matters:
  • Eliminates unexpected errors during visit updates
  • Improves reliability for EVV data processing across calendar year changes
     
7. Standardized Login Terminology
 Sandata has standardized login and password-reset terminology by using “Email” as the login identifier for all users, ensuring a consistent and streamlined experience.
 
  •  The non-agency user creation email template for Sandata EVV/Homecare now uses “Email” instead of “Username” throughout.
 
8. Improved Validation for CT Alt EVV Client API
 
We’ve enhanced validation so that missing values in key ClientPayerInformation fields now return clear, helpful error messages instead of “result not ready.” This makes it easier to quickly identify and correct data issues, ensuring smoother processing and fewer delays.
 
9. Improved Time Zone Handling for Claims Validation
We’ve enhanced the claims-validation-processor so that validation no longer fails when visit or claim data includes common U.S. time zone abbreviations (CST, EST, MST, PST).
  • This update ensures smoother processing for claims—especially for Indiana (INFSSA)—and helps prevent delays or failed reimbursements.
